Formed as the advocacy and political arm of Planned Parenthood Federation of America, Planned Parenthood Action Fund is a separate non-profit membership organization tax-exempt under section 501(c)(4). The Action Fund engages in educational, advocacy, and limited electoral activity, including grassroots organizing, legislative advocacy, and voter education in furtherance of the Planned Parenthood mission. Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund seek an Associate Director-Trusts & Estates. This position reports to the Senior Director-Gifts & Systems for Gift Planning in the Development Division of PPFA. The Gifts & Systems Team for Gift Planning provides fundraising expertise and execution in the areas of realized bequests, trust and estate administration, life income gifts, and special gifts, resulting in excess of $35 million in annual revenue, critical to achieving the organization’s mission through charitable support.\nPurpose:The purpose of the Associate Director-Trusts & Estates is to advance the capacity of the team for the growing and successful estates-in-probate program. The Associate Director develops and implements strategies for a diverse portfolio of estates in-probate and irrevocable trusts in an assigned region to increase the number of realized bequests each year, ensure that the full amount of bequests are received within reasonable time periods, and ensure that donor intent is fulfilled. This staff member adapts established protocols, using experience to tailor to each assigned estate, the majority of which are in process for 18 months to several years.  While working externally, the Associate Director meets internal expectations for matters ranging from revising revenue forecasting to identifying issues due to assets, delays, and other complications. Engagement:Independently builds relationships with trustees, executors, and attorneys to ensure the realization of estate plans for Planned Parenthood.Represents Planned Parenthood to family members of decedents, expressing condolences, explaining policies related to use of gifts, and presenting priorities when trustees or family members have discretionary powers. Engages with peers at other charitable organizations to create needed strategies to bring estate distributions to completion for PP and co-beneficiaries.Assesses estate accountings, financial statements, and gift and pledge recording in collaboration with Finance and Audit staff.Recommends to Gift Planning management and the Office of the General Counsel when an estate might require outside counsel for litigation, disputes, or settlements.Advises affiliates, including those in the Collaborative Fundraising Program, on estate administration matters. Provides training to national and affiliate staff.  Delivery: Executes estate administration in a timely manner on a large number of residual, specific, and discretionary estates by working with trustees, executors, attorneys, and family members to fulfill legal obligations to secure funds.Optimizes time and resources by compiling estate summaries, family trees, real estate data, and asset information for residual and complex estates.Sustains the quality of the program by reviewing assigned estate documentation to identify and analyze concerning circumstances, such as potential litigation, inadequate assets, and pressures to add restrictions. Researches and identifies prospective sources when outside counsel is needed.Evaluates financial documentation to ensure alignment of assets, legal fees, and beneficiary designations with the will and trust language. Flags concerns about the potential insufficiency of funds.  Upholds program delivery against established pledging, audit, and status reporting schedules, while incorporating new policies and procedures. Keeps timely records of activity with estates and tracks portfolio revenue.Performs other duties as assigned.Knowledge, Skills and Abilities (KSAs):Bachelor of Administration or a Bachelor of Science is requiredMinimum of six years of related work experience with charitable bequest administration and/or trusts and estates in a nonprofit or legal setting.Knowledge of and continued intellectual interest in the gift planning field, and a demonstrated interest in working in development in the nonprofit sector.    Extremely organized, process-oriented self-starter who works well in a fast-paced environment.Strong oral and written communicator with excellent interpersonal skills and the ability to build strong, effective partnerships with both internal and external partners. High proficiency in Google, Microsoft, and Adobe productsFlexibility and ability to adapt quickly to changing priorities and ambiguous situationsCommitment to PPFA’s mission and diversity, equity, and inclusion values.A deep commitment to Planned Parenthood’s mission of promoting Sexual and Reproductive HealthWilling to provide coverage at the end-of-fiscal-year and the end-of-calendar-year holiday periods, monitoring telephone and email to ensure that external and internal documents are advanced so that gifts are completed.       This is a hybrid position based in our New York City office.
