About the Role We are seeking a Customer Service & Office Administrative Assistant to support daily customer communications and office operations. You will handle customer inquiries, coordinate appointments, assist sales and operations teams, and support accounting and permit processes to keep workflows organized and efficient. This role combines customer-facing responsibilities with administrative and operational coordination, making it ideal for someone organized, proactive, and comfortable multitasking in a remote environment. What You’ll Do Customer Communication & Scheduling • Handle inbound and outbound calls, emails, and SMS communications using RingCentral • Log accurate notes and updates in the CRM system • Pre-qualify leads and schedule estimates and installations • Send confirmations and appointment reminders to customers Sales & Operations Support • Prepare and follow up on customer estimates and proposals • Coordinate scheduling with operations teams and vendors • Update customer orders and contracts Accounting Support (Light AR/AP) • Issue invoices and process payments in QuickBooks Online • Perform weekly basic reconciliations • Maintain accurate billing records Permit & Documentation Support • Submit, track, and close permits while maintaining organized digital records • Maintain organized documentation and file structures Reporting & Administrative Tasks • Produce simple status and operational reports • Keep files and documentation updated in Google Workspace or Microsoft systems What You Bring Required Experience • 2+ years experience in Customer Service, Office Administration, or AR/AP roles • Hands-on QuickBooks Online experience (invoices, payments, reconciliations) • Experience using RingCentral or similar VoIP systems • Strong CRM discipline and data accuracy (JobNimbus, HubSpot, or similar) • English proficiency (B2+ spoken and written) • Fluent or advanced Spanish skills • Availability to work full-time aligned with U.S. business hours Technical Setup Requirements • Professional remote setup with reliable internet (50 Mbps or higher recommended) • Modern computer setup (dual monitors preferred) • Quality headset for customer communication Nice to Have • Experience managing permit workflows • Inventory coordination experience • Background in construction, home services, or franchise operations • Intermediate skills in Google Sheets or Microsoft Excel Ideal Candidate Profile You are someone who: • Enjoys supporting both customers and internal teams • Is highly organized and detail-oriented • Communicates professionally and confidently • Manages multiple workflows efficiently • Takes ownership of tasks and follows through consistently Why Join? • Stable, long-term opportunity within a growing franchise network • Training on systems and internal processes • Opportunity to directly impact customer experience and operations • Collaborative and service-driven remote work environment • Competitive compensation with long-term career potential
