Role Overview The Sales Operations Lead owns the end-to-end optimization of sales and patient intake operations across CRM, automation, reporting, and communication workflows. This role exists to improve conversion, reduce cycle time, and elevate patient experience while maintaining strict compliance standards. The work is highly hands-on and execution-driven, blending systems thinking with direct implementation. You will diagnose bottlenecks, redesign workflows, and personally execute improvements across tools and processes. This role works cross-functionally with sales, intake, clinic, and leadership teams and is ideal for a proactive operator who thrives in complex, regulated environments. Your Impact You will directly improve revenue efficiency by streamlining sales and patient intake workflows across the full lifecycle. You will increase conversion rates and response times through better CRM structure, automation, and attribution. You will enhance patient experience by enabling compliant, empathetic, and effective communication. You will provide leadership with clear visibility into funnel health, performance drivers, and operational bottlenecks. You will play a critical role in scaling operations sustainably without sacrificing trust or compliance. Core Responsibilities Sales Flow & CRM Ownership – 40% Own and deeply understand the CRM, including pipelines, fields, automations, and cross-team handoffs. Design, build, and iterate end-to-end sales and patient intake workflows to improve speed and conversion. Enforce CRM usage standards, data integrity, and pipeline hygiene across teams. Develop and maintain lead attribution logic and forecasting visibility across the full lifecycle. Patient, Clinic & Communication Enablement – 20% Establish compliant communication guardrails that support empathetic, relationship-driven conversations. Translate compliance-approved documentation into natural sales and intake messaging. Review calls, messages, and workflows to identify friction and ensure compliance adherence. Support sales and intake teams through messaging and process improvements without direct people management. AI, Campaigns & Automation Oversight – 20% Monitor, QA, and optimize automated email, SMS, drip campaigns, and AI-driven phone agents. Ensure accurate lead routing, follow-up timing, and seamless handoff between automation and humans. Identify gaps and opportunities to responsibly expand automation while protecting trust and compliance. Performance Management, Reporting & Optimization – 20% Define and enforce KPIs across activity, response time, conversion, revenue, and cycle time. Build and maintain dashboards, alerts, and scorecards for funnel visibility and bottleneck detection. Produce recurring insights and recommendations for sales leadership. Identify systemic issues and personally execute continuous performance improvements. Must-Haves (Required) Proven experience owning and improving sales or revenue operations in a complex, high-touch environment. Hands-on CRM administration experience, including pipeline design, automations, and reporting. Strong ability to translate strategy into execution and personally implement operational changes. Comfort operating in regulated or compliance-sensitive environments. Strong analytical skills with deep familiarity with sales KPIs and funnel analytics. Excellent written and verbal English communication with high emotional intelligence. Nice-to-Haves (Preferred) Experience in healthcare, medical devices, or sensitive consumer services. Exposure to AI-driven sales tools or conversational AI systems. Experience supporting distributed or remote teams. Multilingual capabilities (Spanish is a plus but not required).
