Role: Head of Operations Role: Head of Operations Reporting to: Head of Business Team reporting into this role: Clinic Managers (across all locations) Role Summary The Head of Operations is responsible for end-to-end operational excellence across all clinics, ensuring smooth daily functioning, disciplined execution, consistent patient experience, and high standards of clinical and operational adherence. This role owns people discipline, clinic readiness, facilities, procurement, patient flow, and service delivery execution across the network. Key Responsibilities Clinic Operations & People Discipline ● Own day-to-day operations across all clinics. ● Ensure clinics open and close on time; staff and doctors adhere to schedules. ● Drive punctuality, attendance, and accountability across clinic teams. ● Directly manage and review all Clinic Managers. Patient Experience & Service Delivery ● Own execution of patient experience at clinics. ● Ensure appointment timing, patient flow, and queue management are followed. ● Track and improve clinic-level NPS and patient feedback. ● Address recurring experience issues through operational fixes. Clinical & Process Adherence ● Ensure adherence to defined clinical workflows and protocols (operational execution). ● Monitor consultation flow, handoffs, and service delivery standards. ● Ensure SOPs are consistently followed across clinics. Staffing, Rosters & Coverage ● Oversee clinic staffing plans and rosters. ● Ensure adequate coverage across functions at all times. ● Manage leaves, shift planning, and on-ground contingencies. Facilities Management ● Own maintenance, cleanliness, and upkeep of all clinics. ● Ensure infrastructure, equipment, utilities, and internet uptime. ● Manage vendors, landlords, and facility partners. Procurement & Inventory ● Own procurement of clinic supplies, consumables, and services. ● Ensure timely availability and inventory discipline. ● Drive cost control and vendor management. Escalations & Reporting ● Act as the primary escalation point for clinic-level issues. ● Provide regular operational visibility, metrics, and risks to leadership. Ideal Candidate Profile ● 8–12+ years of experience in multi-location operations (healthcare, clinics, retail, QSR, or service chains). ● Strong people management and on-ground execution experience. ● Proven ownership of facilities, procurement, and service operations. ● Data-aware and metrics-driven (NPS, wait times, adherence). ● Calm, firm, and decisive under pressure. What Success Looks Like ● Clinics run smoothly, on time, every day. ● Strong appointment adherence and predictable patient flow. ● Consistently high clinic-level NPS. ● Minimal operational escalations and firefighting. ● High discipline and accountability across teams.
