La dynamique de votre équipe : En tant que coordonnateur(trice) des événements corporatifs, votre principal objectif sera de gérer et d'assurer la prestation irréprochable des visites corporatives pour nos invités à notre siège social de Montréal. Vous êtes bien organisé(e), soucieux(se) du détail et à l’aise dans un environnement dynamique et rapide. De plus, vous serez responsable du soutien administratif et vous aurez la responsabilité de certaines tâches liées à notre programme mondial d’événements corporatifs. L’équipe des événements corporatifs est composée de professionnels passionnés par l’événementiel, motivés à faire évoluer le département. Elle vous offrira un encadrement professionnel afin de garantir votre succès dans ce rôle. Votre journée en un coup d'oeil : Assister à la gestion du programme de visites du siège social Genetec, ce qui inclut : La gestion des demandes de réservation de visites corporatives, principalement émanant des équipes Ventes et Marketing, ainsi que d'autres départements Genetec. La coordination des aspects logistiques internes, incluant l’ordre du jour des réunions, la réservation des salles et des ressources, les communications avec les parties prenantes, ainsi que la restauration (à la fois via notre bistro interne et/ou des fournisseurs externes). S’assurer que toutes les salles de réunion et les lieux sont aménagés conformément aux normes établies. Superviser les cadeaux corporatifs et les articles promotionnels pour les visiteurs. Mener des visites guidées des bureaux du siège social et du Centre Expérience de Montréal Genetec. Suivre les dépenses (restauration, transport, fournitures, inventaire, etc.). Gérer et suivre le retour sur investissement (ROI) des visites au siège social avec des rapports réguliers destinés à la direction. Participer à l’amélioration continue et à l’évolution du programme de visites en contribuant à l’élaboration de processus et en partageant les bonnes pratiques avec les autres centres d’expérience Genetec régionaux (Paris, Londres, Singapour, Washington D.C., Dubaï). Soutenir l’équipe des événements dans la gestion et la coordination des salons professionnels et événements corporatifs mondiaux, et appuyer les ressources marketing locales/régionales, notamment par : La création et gestion de sites web d’événements, courriels et portails d’inscription. La communication avec les fournisseurs, la coordination des paiements et le suivi des dépenses. La communication avec les clients pour fournir de l’information, répondre aux questions et résoudre les problèmes. La supervision de la logistique, avec l’appui de l’équipe des événements et des équipes marketing régionales. L’assistance sur place lors des événements. Collaborer avec les autres équipes marketing, incluant le numérique, le CRM et les équipes de données pour connecter et consolider les indicateurs d’événements, notamment en : Participant à l’élaboration de tableaux de bord de rapports destinés à différents intervenants. Gérant le processus de leads événementiels et la qualité des données dans notre outil d’automatisation marketing et le CRM. Offrant un soutien à l’équipe de marketing et de communication selon les besoins. Ce qui fait de vous un excellent candidat : Maîtrise du français et de l'anglais, tant à l'oral qu'à l'écrit (ce poste nécessite des interactions avec nos collaborateurs et clients internationaux) Excellentes compétences en service à la clientèle et en présentation. Grande attention aux détails et aux compétences en gestion du temps. Capacité à gérer plusieurs projets et échéances simultanément. Excellentes aptitudes à résoudre les problèmes et à réagir rapidement dans des situations imprévues. Fortes compétences interpersonnelles et aptitude à collaborer avec des groupes et parties prenantes interfonctionnels. Bonnes capacités de recherche (en ligne et hors ligne). Maîtrise de la suite Microsoft Office, notamment Excel. Connaissance des CRM, de la gestion des données, du HTML/CSS et du marketing par courriel (atout). Expérience avec les budgets, les ERP et les achats (atout). Disponibilité pour travailler des heures flexibles en personne au siège social de Genetec. Additionally, you will be responsible for providing administrative support and have ownership of certain tasks related to our global corporate events program. The Corporate Events Team is comprised of driven event professionals who are excited to grow the department, and will provide you with professional guidance, ensuring you succeed in your role. Your day at a glance : Assist with the management of the Genetec HQ (headquarters) visits program, which includes: Managing corporate visit booking requests primarily from our Sales & Marketing teams, as well as other Genetec departments Coordinating internal logistics including the meeting agenda, room space and resource booking, stakeholder communications, catering from both our internal bistro and/or external vendors Ensuring all meeting rooms and venues are set-up according to set standards Overseeing corporate gifting and giveaway items for visitors Leading tours of the Genetec HQ offices and Montreal Experience Center Tracking expenses which can include catering, transportation, supplies, inventory, etc. Managing and tracking HQ visit ROI with regular reporting to leadership Participating in the continuous improvement and evolution of the visits program by assisting with the development of processes and sharing best practices with other regional Genetec Experience Centers (Paris, London, Singapore, Washington D.C, Dubai) Supporting the events team with the management and coordination of global corporate trade shows and events and with assistance to local/regional marketing resources by: Setting-up and managing event information websites, e-mails, and registration portals Communicating with vendors, coordinating payments, and tracking expenses Communicating with clients to provide information, answering questions, resolving issues Overseeing logistics with support from the events and regional marketing teams, as appropriate Providing on-site event support Work alongside other Marketing groups including Digital, CRM, and data teams to connect and consolidate event metrics by: Assisting with the development of reporting dashboards for various stakeholders Managing event leads process and data quality in our Marketing Automation tool and the CRM Supporting the Marketing and Communications team as needed What makes you a great fit : Fluent in French and English, both verbal and written (this role requires interaction with our international collaborators and customers) Excellent customer service and presentation skills Strong attention to detail and time management skills Ability to manage multiple concurrent projects and deadlines Superior problem-solving and ability to think and act quickly under unexpected circumstances Strong interpersonal skills and ability to work well with cross-functional groups and stakeholders Strong research skills (both off and online) Proficient with the Microsoft Office Suite, specifically Microsoft Excel Knowledge of CRMs, data management, HTML & CSS and email marketing is an asset Budget, ERP, and purchasing experience is an asset Ability to work flexible hours in person at Genetec headquarters Enthusiastic approach to all tasks, big and small with a willingness to learn Ability to travel as required Let’s talk perks!
