Manages and updates the Infrastructure & Cloud resource database, maintaining clear, up‑to‑date, and high‑quality resource information. Drives contract extension processes, onboarding & offboarding including coordinating with suppliers and internal stakeholders. Raises purchase requisition orders and ensure timely receipting of services. Facilitates regular check‑ins to ensure contract extensions and procurement activities stay on track. Prepares reports and clear analysis on resource status, contracts, and procurement progress. Maintains the project library, filing, recording, and reporting systems and identify improvements. Provides support to Central PMO team by leading the coordination of meetings, collating materials, taking minutes, and maintaining accurate action and decision logs. Provides support on all strategic reporting to boards and other internal stakeholders. Contributes to ensuring the PMO team’s artefacts and inboxes are maintained up to date and accurate, according to group quality standards. Provides general support across project delivery controls, assisting with additional tasks as needed to ensure smooth execution. Contributes to the development of management information and analyses for trends. Qualifications & Experience: Essential Strong Excel skills, including PivotTables, VLOOKUP, and advanced data manipulation. Excellent information management, collation and reporting skills. Experience working with Purchase Order Systems (Oracle or SAP). Strong time management, workload planning and organisational skills. Excellent interpersonal and communication skills; proven ability to work within a team. Excellent English communication skills, both written and verbal. Experience in a similar Coordination/PMO Function. Ability to work independently, take initiative, and proactively identify upcoming needs or risks. Ability to build effective working relationships with employees and external stakeholders/suppliers. Ability to manage workload effectively and consistently meet deadlines. High attention to detail and a systematic approach. Preferred Proficiency with project management tools such as Clarity PPM or other similar PPM tools. Experience and knowledge of supporting a large number of projects. Basic Power BI skills preferred. Background in data support, data maintenance roles. Experience in financial services organisations would be beneficial. Experience working successfully with teams in multiple locations simultaneously. Educated to degree level or equivalent.
